Administrative / Marketing Assistant
Location: Dallas TX

SUMMARY
Candidates applying for this position must have communication and organization skills, and possess the ability to work in a fast-paced environment. The candidate must also be a self-starter and have a “problem solver” approach to each assignment.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Answer and direct phone calls
• Organize and schedule appointments
• Plan meetings and take detailed minutes
• Write and distribute email, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Update and maintain office policies and procedures
• Order office supplies and research new deals and suppliers
• Maintain contact lists
• Book travel arrangements
• Submit and reconcile expense reports
• Provide general support to visitors
• Act as the point of contact for internal and external clients
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
• Prepare proposal and marketing materials
• Gather, verify, and format information
• Ensure accuracy of timely proposals and marketing materials
• Maintain marketing files and systems (Sharepoint, proposal files, etc.)
• Collect and update project profiles for content
• Assemble, print, and edit marketing and communications collateral supporting proposals, business development, and project pursuit

Education and/or Experience:

• Strong computer skills; Proficiency in use and application of Adobe Photoshop, Adobe InDesign, and Microsoft Office Suite (Word, Excel, PowerPoint, Project and Outlook).
• Deltek Vision a plus.
• Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
